Application security roles

Solution

SASN-IT Applications and Security Roles:

1. EMS:

  • Administrator (Placement Testing and Registration Date Admin)
    • Can create and edit the Scheduled dates (access to Date Admin page)
    • Can edit the placement testing and registration dates of all student records in the system, regardless of school code
  • Supervisor (Most of OAS right now, could be Deans and Assistant/Front Desk)
    • Can edit the placement testing and registration dates of all student records in the system, regardless of school code
  • School Advisor
    • Can edit the placement testing and registration dates of only student records in the system that are part of the designated school codes
  • Informational
    • Can view all of the rosters, lists, student records, and calendar, but cannot edit anything

2. GradTracker

  • Administrator
    • Can view and edit candidate applications from any school
    • Can view and edit candidate personal information such as name, address, email, and etc.  for applications from any school
    • Can view and edit diploma mailing address on any application
    • Can certify, deny and change certification status and all certifications of candidate applications for applications from any school
    • Can create new GradTracker user accounts and assign specific permissions
  • Supervisor 
    • Can view and edit candidate applications from the permitted schools
    • Can view and edit candidate personal information such as name, address, email, and etc.  for applications from the permitted schools
    • Can view and edit diploma mailing address for applications from the permitted schools
    • Can certify, deny and change certification status and all certifications of candidate applications  from the permitted schools
  • Certifier
    • Can certify, deny and change certification status and all certifications of candidate applications  for applications from the permitted school
    • Can change certification details such as school, graduation year and date, degree, and honors for applications from the permitted schools
    • Can edit diploma mailing address
  • Departmental certifier
    • Can certify, deny and change certification status of applications that contain a permitted major and minor requirements
  • Registrar
    • Can view and edit candidate personal information such as name, address, email, and etc. for all schools/applications
    • Can view and edit diploma mailing address for all schools/applications
    • Can change total credits and cumulative GPA for all schools/applications
  • Informational
    • Can view candidate applications (Read Only)
  • Urban Teaching and Educational (UTEP)
    • Can indicate if a candidate belongs to the UTEP
    • Can certify or deny if the candidate meets UTEP requirements.
  • B.A./M.A.
    • Can indicate if a candidate belongs to a B.A./M.A. Program
    • Can certify or deny if the candidate meets B.A./M.A. Program requirements.
  • Honors College
    • Can indicate if a candidate belongs to the Honors College
    • Can certify or deny if the candidate meets Honors College requirements. 

3. LoginSys

  • Administrator
    • Can view “Waiting List” for self, and for all other advisors
    • Can start and create advisement visits (can click “Create New Visit” or “Start Advising”)
    • Can view and add comments to any in-progress or already processed visit
    • Can add a “warning” message associated with a student’s RUID
    • Can create new users and assign permissions
    • Can add new reasons and visit types 
    • Can set an override permission level on any account without changing user type(Super Auth field)
  • Dean
    • Can view “Waiting List” for self, and for all other advisors
    • Can start and create advisement visits (can click “Create New Visit” or “Start Advising”)
    • Can view and add comments to any in-progress or already processed visit
    • Can add a “warning” message associated with a student’s RUID
  • Advisor
    • Can view “Waiting List” for self, and for all other advisors
    • Can start and create advisement visits (can click “Create New Visit” or “Start Advising”)
    • Can view and add comments to any in-progress or already processed visit
  • Assistant
    • Can view “Waiting List” for all advisors (No “Your Waiting List” as students can’t select an Assistant)
    • Has slightly different dashboard
      • Shows list of all Advisors who are currently in an advisement session (clicked “Start Advising” but has not clicked “End Advising”) and indicates which student they are advising (RUID associated with the visit)
      • Shows list of all users and allows the Assistant to select which advisors are selectable on the sign-in kiosk
    • Can NOT start or create advisement visits
    • Can view comments to any in-progress or already processed visit (CAN’T add comments)
  • Guest
    • Can view “Waiting List” for all advisors (No “Your Waiting List” as students can’t select a Guest)
    • Can NOT start or create advisement visits
    • Can view comments to an in-progress or already processed visit (CAN’T add comments)
  • Student
    • Can ONLY view “Waiting List” for all advisors (No “Your Waiting List” as students can’t select a Guest)
    • Can NOT start or create advisement visits
    • Can NOT view comments to an in-progress or already processed visit (CAN’T click on any Visit ID or RUID)

4. PTL

Dean’s Office Roles:

  • Administrator
    • Can see all PTL applications
    • Can “Submit”, “Review”, “Approve” submitted PTL applications
    • Can view budget reports
    • Can set Allocations and contract details
    • Can create/edit usernames and permissions
  • Approver
    • Can see all PTL applications
    • Can “Approve” submitted PTL applications
    • Can view budget reports
    • Can set Allocations and contract details
  • Reviewer
    • Can see all PTL applications marked “Reviewed”
    • Can “Review” and “Approve” (when needed) submitted PTL applications
  • Informational
    • Can view all submitted PTL applications (Read-Only)
    •  

Departmental Roles:

  • Preparer
    • Can prepare, “Save For Later” and “Submit” new PTL applications for their department
  • Departmental Viewer
    • Can view PTL applications submitted by the user’s department (Read-Only)
