SASN-IT Applications and Security Roles

START Access Roles and Permissions 

  • School Supervisor: Dean of a school – must specify which school on the form 
    • has access to all editable fields for students at their assigned school
    • can change their assigned school’s students’ assigned registration/SOAR date
    • can confirm their assigned school’s students’ placement testing exemptions
    • can check-in their assigned school’s students for their Registration/SOAR date
    • has access to “Semester Open Cycle” page to confirm opening the semester for their school
    • has access to “Verbiage Edit” page to edit their schools receipt verbiage
    • has access to “Calendar View/Edit” page to Create/Edit/Approve Registration dates for students at their school (not Placement Testing or SOAR dates)
  • School Advisor - a staff member of a school must specify which school on the form 
    • has access to all editable fields for students at their assigned school
    • can change their assigned school’s students’ assigned registration/SOAR date  
    • can confirm their assigned school’s students’ placement testing exemptions 
    • can check-in their assigned school’s students for their Registration/SOAR date
  • Program Advisor - a staff member of a program (EOF, HC, HLLC) - must specify which program on the form 
    • has access to all editable fields for students at their assigned program
    • can change their assigned program’s students’ assigned registration/SOAR date  
    • can check-in their assigned program’s students for their Registration/SOAR date
  • Informational – can view all students but cannot make any changes (read-only access) 

 

Please Note: 

  • Access to all pages can be requested individually for any user with any role (not just “Supervisor”): Semester Cycle Open page, Verbiage Edit page, Calendar View/Edit page 
  •  Access to edit students in Programs (EOF, HC, HLLC) can also be requested individually to be added to a user with a “Supervisor” or “Advisor” role 
  • Nursing (25) School Advisors will also have their EOF students included in their population.  
  • EOF Program Advisors will have Nursing (25) students omitted from their population. 

 

 GradTracker Access Roles and Permissions 

·         School Supervisor: Dean of a school must specify which school on the form 

o  Can view their assigned school’s submitted degree applications on the “My Population” page 

o  has access to all editable fields for students at their assigned school  

o  can edit the student’s “First/Middle/Last Name/Suffix” and “Address/City/State/Zip Code” fields (ONLY effective in GT)  

o  can edit the student’s phone numbers (reg.and alt.) and email addresses (reg.and alt.) (ONLY effective in GT) 

o  can change the student’s “Graduation Date” (Year and Month) 

o  can change the “Degree Type and Joint Degree Indicator” on an application 

o  Can change the application’s “Certification Status” 

o  Can submit a Certification List “Addendum” 

o  Can leave a comment on the application 

o  Can edit the “Diploma Mailing Address” fields (“Address”, “Address (add’l)”, “City”, “State”, “Zip Code”) 

o  Can edit the “Printed Name on Diploma”   

o  Can edit the “Graduation Ceremony” fields (“Attending Ceremony”,”Name Pronunciation”, ”Special Needs”, “Number of Guests” 

o  Can set all “Core Requirements” certification fields (“Credits”, “GPA”, “Honors”, “Core Req’s”, “Writing Intensive”, “2nd Concentration Requirement” 

o  Can set the “Honors Society” participations on the application  

o  Can change the student’s assigned “Major 1/2/3” and “Minor 1/2/3” (ONLY effective in GT) 

o  Can set all “Majors 1/2/3” certification fields (“Certification Status”, “Reason”, “Comment”) 

o  Can set all “Minors 1/2/3” certification fields (“Certification Status”, “Reason”, “Comment”) 

o  Can set all “Concentrations” (“Pre-Health”, “Nursing Pathways Program”, “UTEP”, “BA/MA”, “Honors College”, “HLLC”) certification fields (“Certification Status”, “Reason”, “Comment”) 

o  Can access the “Addendum List” page and Edit/Print any submitted addendum for students from the assigned school 

o  Can access the “Pre-Certification List” page to export a list of current graduation candidates for any semester 

 

·        School Certifier- a staff member of a school must specify which school on the form 

o  Can view their assigned school’s submitted degree applications on the “My Population” page 

o  can edit the student’s phone numbers (reg.and alt.) and email addresses (reg.and alt.) (ONLY effective in GT) 

o  can change the student’s “Graduation Date” (Year and Month) 

o  Can change the application’s “Certification Status” 

o  Can submit a Certification List “Addendum” 

o  Can leave a comment on the application 

o  Can edit the “Diploma Mailing Address” fields (“Address”, “Address (add’l)”, “City”, “State”, “Zip Code”)

·        Departmental - a staff member of an academic department with majors and minors- must specify which major(s) and minor(s) needing access to on the form 

o  Can view the submitted degree applications for their assigned major(s) and minor(s) on the “My Population” page 

o  Can set all “Majors 1/2/3” certification fields (“Certification Status”, “Reason”, “Comment”) for major codes that they have been assigned access to  

o  Can set all “Minors 1/2/3” certification fields (“Certification Status”, “Reason”, “Comment”) for minor codes that they have been assigned access to 

 

·        Registrar – a staff member of the Registrar’s Office 

o  Can view degree applications for all schools 

o  Can edit the “Diploma Mailing Address” fields (“Address”, “Address (add’l)”, “City”, “State”, “Zip Code”) 

o  Can edit the “Printed Name on Diploma”   

o  Can edit the “Graduation Ceremony” fields (“Attending Ceremony”,”Name Pronunciation”, ”Special Needs”, “Number of Guests” 

 

·        Concentration Certifier (“Nursing Pathways Program”, “UTEP”, “BA/MA”, “Honors College”, “HLLC”) - must select one or more specific concentrations from “Roles” on form 

o  Can set all “Concentrations” (“Pre-Health”, “Nursing Pathways Program”, “UTEP”, “BA/MA”, “Honors College”, “HLLC”) certification fields (“Certification Status”, “Reason”, “Comment”) 

 

·        Informational – can view all degree applications but cannot make any changes (read-only access)

·        “Concentrations” certification fields can be requested individually on the form in the “Justification” field for “School Supervisor” and “School Certifier”-type users 

·     “Pre-Health” 

·       “Nursing Pathways Program” 

·       “UTEP” 

·       “BA/MA”

·       “Honors Society” participation fields can be requested individually on the form in the “Justification” field for “School Supervisor” and “School Certifier”-type users

Dean’s Office Roles:

  • Administrator
    • Can see all PTL applications
    • Can “Submit”, “Review”, “Approve” submitted PTL applications
    • Can view budget reports
    • Can set Allocations and contract details
    • Can create/edit usernames and permissions
  • Approver
    • Can see all PTL applications
    • Can “Approve” submitted PTL applications
    • Can view budget reports
    • Can set Allocations and contract details
  • Reviewer
    • Can see all PTL applications marked “Reviewed”
    • Can “Review” and “Approve” (when needed) submitted PTL applications
  • Informational
    • Can view all submitted PTL applications (Read-Only)

Departmental Roles:

  • Preparer
    • Can prepare, “Save For Later” and “Submit” new PTL applications for their department
  • Chair/Departmental Viewer
    • Can view PTL applications submitted by the user’s department (Read-Only)

Faculty Integration (Faculty profiles on SASN website)

  • Dept/Prog - Access to all specified Department/Program faculty profiles 
  • Faculty - Faculty own profile

SASN Website

  • Content Editor (Dept/Prog) - Access to all specified department/program webpages 

Kronos

  • User - Punch in/out
  • Supervisor - Review their direct report hours and approve them
